Smile File ("we", "us") helps people create digital cards and collect messages for someone they care about. This policy explains what information we collect, how we use it, and the choices you have. We are based in Australia and handle personal information in line with the Australian Privacy Principles.
Information we collect
- Creator account details - the email address you use to sign in.
- Card content- the recipient's name, photos, and design choices you add when building a Smile File.
- Contributor messages - the notes, photos, and videos that you or others add to a Smile File.
- Payment information - when you pay for a Smile File, your card details are collected and processed directly by Stripe. We never see or store your full card number.
- Basic technical data - a sign-in session cookie and standard server logs needed to run the service securely.
How we use your information
- To create, host, and display your Smile File and its messages.
- To take payment for a Smile File.
- To send you sign-in links and service emails.
- To keep the service secure and to fix problems.
Where your information is stored
We use trusted third-party providers to run Smile File. Your information may be stored and processed by them on our behalf:
- Airtable - stores card details and messages.
- Vercel - hosts the website and stores uploaded photos and videos.
- Stripe - processes payments.
- Resend - sends sign-in and service emails.
Some of these providers may store data outside Australia. We only use providers that take reasonable steps to protect your information.
Keeping content private
Smile Files are reached through a private, hard-to-guess link and are not indexed by search engines. A Smile File is only visible to people who have its link. Please only share the link with people you want to see it.
Your choices
You can ask us to access, correct, or delete the personal information we hold about you, including a Smile File and its messages. Email us at hello@findyourflock.co and we will action your request.
Children
Smile File is not intended for children under 16. If you believe a child has provided us with personal information, contact us and we will remove it.
Changes to this policy
We may update this policy from time to time. We will change the "last updated" date above when we do.
